What a trade invoice needs on it

Most invoices that get queried are missing one of six things. Cover these and the conversation stops being about the paperwork.

Who you are

Business name, address, phone — and your licence number if your trade carries one. A customer chasing a warranty two years from now has only this piece of paper.

A unique invoice number

Sequential, never reused. It is what you and your accountant both refer to, and what a customer quotes when they ring up about it.

The date and the terms

When it was issued and when it is due. "Net 14" means nothing to a homeowner — a real date does.

What you actually did

Not "plumbing work, $480". Parts, labour and call-out on separate lines. Itemised invoices get queried far less often.

Tax, shown separately

If you charge sales tax or VAT it goes on its own line, with the rate. Rolling it into the total is how you end up absorbing it.

How to pay you

Bank details, a payment link, or who to make the cheque out to. An invoice that does not say how to pay it is a slow invoice.

Is this invoice generator really free?
Yes. No account, no trial, no watermark, and no cap on how many invoices you make. It is here because we build invoicing software and would rather be useful to you before asking for anything.
Do you store my invoice or my customer details?
No — nothing at all. Not your customer, not the amounts, not your own details. The PDF is built and handed straight to your browser, and there is no account, no sign-up and nothing kept afterwards.
Do I need to sign up to download the PDF?
No. Fill it in, press the button, and the PDF downloads. There is nothing to sign up for and no email to hand over.
Can I send the invoice to my customer from this page?
No — download the PDF and send it from your own email, so it comes from you. With a CrewSpur account invoices go out as your business, signed by a verified domain, which is what keeps them out of a customer's spam folder.
Can I use it for quotes or estimates?
It prints "Invoice" at the top, so not cleanly. It will do as a rough estimate if you say so in the description lines, but a proper quote should say what it is.
Does it work on a phone?
Yes — the same page, stacked. Filling one in from the van straight after the job is the point.
What currencies does it support?
US dollars, pounds sterling, euros, Canadian dollars and Australian dollars. Pick the currency and the tax rate that apply to you; the totals and the PDF follow.
